If you are considering whether to use a transcription company to type up your audio or video files for the first time or even if you’ve been using transcription services for many years, we have some practical tips on getting the most from your transcription company.
First of all, it’s important to realize that when it comes to transcription services, one size does not fit all. For example, if you are sending a batch of video rushes to be typed up, the transcription service you require (in terms of layout, transcript style, turnaround and formatting requirements) is likely to be very different from someone sending a one to one interview for newspaper publication. With this in mind, let’s take a look at some of the main things to consider when sending your files for transcription.
Transcription Style
When sending audio or video for transcription, you will be offered a selection of different transcription styles. Generally speaking these are (in order of detail): Discourse analysis, strict verbatim, intelligent verbatim and edited transcription. While the former will include every utterance (including non verbal cues), the former will provide a summarized version of the dialogue. If you are not sure of which style is best for you, be sure to ask and if possible request a free sample to make sure it works for you and suits your needs
Transcription Layout
Most transcription companies will offer at least a couple of different transcript layouts to choose from (or will work with your existing transcript templates). Using the correct transcript layout can help with ease of reading as will as enable you to find the information you need quickly and easily. If you are not sure which is right for you or your company, simply ask to see the templates and let your transcription service provider know if you require any modifications.
Transcription Turnaround
Transcript turnaround can vary depending on your project. It is always prudent to be clear with your transcription company when you need a interview transcribed quickly. Be sure to let your transcription services provider know when you will be sending your file for transcription, along with your exact deadline and if possible give advance notice to avoid disappointment.
Transcription Formatting
If you require transcripts with specific formatting, it is advisable to make your transcription services company aware of what you need. For example, if you have decided to dictate blog posts, articles, letters, books or scripts – you will almost certainly require specialist additional formatting, which may or may not include hyperlinks, table of contents, pictures, embedded documents, charts, diagrams, etc. It is recommended that you discuss this with your transcription company to ensure they have the skill and expertise to carry out the work you require.
