How to Get the Perfect Transcript

There are a number of factors that go into producing the perfect transcript. In this post, I thought I’d go over some of the things that you can do to ensure that you always get a great transcript this time and every time!

Limit Background Noise. Whether you are recording an interview, dictation or focus group, you must consider the quality of your recording if you want to get an accurate transcript. At the end of the day, it doesn’t matter how good your transcriptionist is, if the sound quality of your file is substandard then your transcript will not be as accurate as it could be. So, if you don’t want to have a transcript that is full of [unclear], [inaudible] or [over speaking] then you have to organise yourself. This means that you need to make sure that you are recording in a quiet area (without background noise). Spaces such as coffee shops, restaurants, parks and public areas are not ideal for making recordings. If you must make a recording in a public place, then you must make sure that you have a high quality microphone and hold it close to whoever is speaking. As a rule of thumb, if you can’t hear what your interviewee has just said when you are sitting with them, then your transcriptionist will also have a hard time hearing them!
Limit Interruptions. Over speaking and interjection should be avoided if possible. Over speaking is extremely hard to transcribe and can mean that vital dialogue can be missed. If possible, try to make sure that everyone involved in your recording is patient and waits their turn to speak. You will often find that this also makes for a transcript that flows much more smoothly and ultimately makes more sense.
Use Quality Recording Equipment. Using the right recording equipment is also a very important factor when making a recording that you want transcribed. If possible allow one microphone per speaker. If this is not possible then do your best to ensure that every speaker is close to a microphone and speaks clearly.
Choose a transcriptionist with experience in your industry or field. Having a transcriptionist who is familiar with your industry or sector means that you don’t have to worry about errors that are due to lack of knowledge. If you want an accurate transcript, then make sure that the transcription service you use can provide you with a secretary or audio typist who has knowledge and experience that is relevant to your sound or video files. This is especially important if you require an edited transcript.
